Mortgage Virtual Assistants: The Complete Guide for Loan Officers and Brokers

How mortgage loan officers and brokers use virtual assistants for document collection, LOS updates, partner communication, and database nurture, within compliance.

Loan officers are paid to originate. Yet many spend half their week chasing paystubs, updating the LOS, and answering “what’s the status?” texts. A mortgage virtual assistant takes that administrative load off, if you set it up with compliance in mind.

GrowthToro’s mortgage VA playbook is built around the real loan workflow and strict compliance boundaries.

Where mortgage VAs help most

Pipeline administration

  • Sending document request lists and tracking what’s been received
  • Uploading and naming documents in the LOS
  • Updating milestones and conditions
  • Ordering third-party items (VOEs, payoffs, HOA documents) as directed

Communication (templated, non-advisory)

  • Weekly status updates to borrowers and real estate agents
  • Appointment scheduling for the loan officer
  • Closing date confirmations

Marketing and nurture

  • Past-client and database newsletters
  • Birthday and home-anniversary touches
  • Realtor partner updates and co-marketing materials (with compliance review)
  • CRM hygiene and lead routing

Compliance first

This is the part generic VA agencies get wrong. This is general information, not legal advice. Work with your compliance team.

The SAFE Act. Only licensed mortgage loan originators may take a residential mortgage loan application or offer or negotiate loan terms. A VA must never quote rates, discuss loan terms, recommend programs, or tell a borrower they “qualify.” Those questions go to the licensed LO, every time.

Processors. The SAFE Act and its regulations treat clerical and support work done under a licensed MLO’s direction differently from origination, but independent-contractor loan processors may themselves need a license. Confirm with your compliance counsel and state regulator how your VA arrangement should be structured and scoped.

Data security. Borrower files contain nonpublic personal information protected under the Gramm-Leach-Bliley Act and your company’s information security program. Require a VPN, password manager, MFA, no local downloads, and LOS access limited to what the VA needs. See VA security.

Advertising. Any marketing with rates, payments, or terms triggers disclosure rules. Route VA-built marketing through compliance review, and include NMLS identifiers and Equal Housing Opportunity where required.

A day in the life

  • Morning: review new disclosures and conditions, send document requests, update the LOS
  • Midday: chase outstanding items, order third-party verifications, update agents
  • Afternoon: CRM updates, nurture campaigns, prep tomorrow’s pipeline report for the LO

Results to track

  • Days from application to submission
  • Outstanding conditions per file
  • Partner update consistency
  • LO hours freed for origination
