Virtual Loan Officer Assistant: What They Can (and Can’t) Do
A clear list of tasks a virtual loan officer assistant can handle, the activities that require an MLO license, and scripts to keep VAs compliant.
A virtual loan officer assistant (LOA) can transform an LO’s week. But the line between administrative support and origination matters legally. Here’s a practical breakdown. General information only; confirm with your compliance team.
Green light: administrative tasks
- Sending document checklists and reminders
- Receiving, organizing, and uploading documents
- Data entry into the LOS from documents provided
- Updating milestones and condition tracking
- Ordering third-party services as directed by the LO or processor
- Scheduling calls for the LO
- Sending templated status updates (“Your appraisal has been ordered”)
- CRM updates and database marketing (compliance-approved content)
- Preparing pre-approval letters for LO review and signature
Red light: licensed activities
A VA should never:
- Take a loan application or complete one on the borrower’s behalf through conversation
- Quote or discuss interest rates, APRs, fees, or payments
- Recommend loan programs or compare options
- Tell a borrower they qualify or are approved
- Negotiate terms or lock rates
- Give advice about credit, debt, or financial decisions
Yellow light: structure carefully
- Collecting information from borrowers. Gathering documents and information needed for processing is generally support work, but stay away from anything that looks like taking an application.
- Contractor processors. Independent-contractor loan processors may need their own license under the SAFE Act framework. Confirm how your VA is structured.
Scripts that keep VAs compliant
When a borrower asks about rates:
“Great question. I’m not licensed to discuss rates or loan terms, but I’ll have [LO name] reach out to you today. Is there a good time for a call?”
When asked “Am I approved?”:
“I don’t have the ability to speak to approval decisions, but I’ll make sure [LO name] gives you an update. Here’s what we’ve received so far…”
Put these in the VA’s SOP and practice them during onboarding.
Data security checklist
- LOS user account with minimum necessary permissions
- VPN and managed password vault
- MFA everywhere
- No downloading borrower files to personal devices
- Clean desk and private workspace
- Immediate access revocation on offboarding
The payoff
Every hour an LOA takes over is an hour the LO can spend with borrowers and referral partners. For most LOs, that’s the difference between being a processor with a license and being a producer.
